Document Description: This document is the implementation procedure for the "Product Protection" clause of ISO 9001:2015 standard 8.5.4. The value of this procedure lies in transforming the concept of "protection" from a slogan into executable, inspectable, and traceable daily actions, reducing scrap and customer complaints caused by handling damage, moisture, improper packaging, and delivery damage. It is applicable to all enterprises with physical product flows, especially small and medium-sized manufacturing enterprises in industries such as electronics, machinery, food, chemicals, and building materials, which are sensitive to storage environments or handling methods.
1. Purpose
To standardize the identification, handling, packaging, storage, and protection activities of products during internal flow and delivery, clarify the protection requirements and responsible persons at each stage, prevent products from deteriorating, being damaged, lost, confused, or misused throughout the production and delivery process, and ensure that products delivered to customers meet specified requirements, in compliance with ISO 9001:2015 standard clause 8.5.4 and applicable laws and regulations.
2. Scope of Application
This procedure applies to the product protection control of all products (including raw materials, purchased components, work-in-progress, semi-finished products, finished products, and accompanying accessories, spare parts, and packaging materials) from the time they are inspected and stored upon arrival at the factory, through production flow, finished product storage, and until they are delivered to the customer's designated location. Specifically, it includes:
- Storage and protection of raw materials and purchased components after they are stored.
- Flow, temporary storage, and handling protection of work-in-progress and semi-finished products during production.
- Storage, packaging, and shipping protection of finished products.
- Protection during transportation and at the delivery site (including the protection of accompanying technical documents and certificates of conformity).
- Special protection requirements as specified by the customer or contract (such as anti-static, constant temperature and humidity, hazardous materials, fragile items, and shelf life management).

4. Work Procedures
4.1 Identification and Planning of Protection Requirements
- The Technical Department, during the product design and development stage, identifies protection requirements for each stage based on product characteristics, including:
- Handling requirements: handling methods, tools, height limits, weight limits, anti-vibration, and anti-toppling requirements.
- Packaging requirements: packaging materials, packaging methods, labeling requirements, and anti-moisture, anti-rust, and anti-static requirements.
- Storage requirements: temperature, humidity, ventilation, lighting, stacking height, shelf life, and isolation requirements.
- Protection requirements: anti-corrosion, anti-deterioration, anti-pollution, anti-damage, and special protection measures.
- The Technical Department includes the identified results in the "Product Protection Requirements List" and distributes it along with the process documents to the Warehouse Department, Production Department, Quality Department, Sales Department, and other relevant departments.
- If the contract or customer has special protection requirements, the Sales Department should specify them during contract review and communicate them to the relevant departments for execution.
4.2 Identification Protection
- Products should maintain clear and complete identification during storage and flow, including product name, specifications, quantity, batch/production date, status (pending inspection/qualified/nonconforming/pending processing), and storage requirements. The identification method should follow the "Identification and Traceability Control Procedure."
- Products with shelf life or storage period requirements should have the production date and expiration date noted on the identification and follow the first-in, first-out (FIFO) principle.
- For products sensitive to protection conditions (such as fragile items, moisture-sensitive items, anti-static products, and hazardous chemicals), prominent protection warning labels (such as "Fragile," "Moisture-Resistant," "Handle with Care," "Anti-Static," etc.) should be placed on the packaging and storage areas.

4.3 Handling Protection
- Handling operations should use appropriate handling tools (forklifts, hydraulic trucks, pallets, turnover boxes, lifting equipment, etc.). Handling tools should be regularly inspected and maintained to ensure they are in good condition.
- Handling personnel should receive job training and master the correct handling methods: gentle handling, smooth lifting, not exceeding height or weight limits, not mixing loads, and strictly prohibiting rough handling such as throwing, tossing, dragging, or pulling.
- Precision, valuable, and fragile products should use dedicated turnover tools. When necessary, anti-vibration, anti-static, and anti-damage measures should be taken, and they should be handled by trained personnel.
- Products flowing between processes should be placed in specified containers or areas, neatly arranged to prevent compression and collision. If any product anomalies are discovered during handling, handling should be immediately stopped and reported to the Quality Department.
- Handling operations should be recorded. For large or valuable products, the Warehouse Department should fill out the "Handling Operation Record."
4.4 Packaging Protection
- The Technical Department formulates the "Packaging Work Instruction," specifying packaging materials, packaging methods, box quantities, padding methods, protective materials (desiccants, cushioning materials, rust preventive oil, etc.), and external packaging labeling requirements.
- The Production Department/Packaging Group implements packaging operations according to the packaging specifications, ensuring:
- Packaging materials are clean, dry, and in good condition, suitable for the products being packaged.
- Products are securely fixed within the packaging to prevent movement and collision during transportation.
- Accompanying documents (certificates of conformity, manuals, packing lists) are complete and correctly placed.
- External packaging labels are clear and complete, including product name, specifications, quantity, and storage and transportation symbols.
- The Quality Department conducts sampling inspections of packaging quality according to inspection specifications, checking the integrity of the packaging, the correctness of the labels, and the reliability of the padding. Only after passing the inspection can the products be stored or shipped.
- If the customer has special packaging requirements, they should be followed and recorded.
4.5 Storage Protection
- The Warehouse Department divides storage areas based on product characteristics: raw materials area, semi-finished products area, finished products area, pending inspection area, nonconforming product isolation area, and return area. Each area should have clear labels and unobstructed passages.
- Storage environment control:
- For products with temperature and humidity requirements, the warehouse should be equipped with temperature and humidity meters. The Warehouse Department should record the "Warehouse Temperature and Humidity Record" twice daily (morning and afternoon). If超标 is detected, immediate measures such as dehumidification, ventilation, and cooling should be taken.
- Moisture-sensitive products should be stored away from walls and the ground (generally at least 30cm from the wall and 10cm from the ground), and proper anti-moisture and anti-mold treatments should be applied.
- Hazardous chemicals and flammable and explosive materials should be stored in dedicated warehouses with dual-person dual-lock management.
- Anti-static products should be stored in anti-static areas and use anti-static packaging.
- Stacking management: stack according to the stacking height requirements marked on the packaging boxes, ensuring no over-height, no over-weight, heavy items not pressing on light items, and large items not pressing on small items to prevent collapse and deformation.
- Inventory management: establish ledgers or identification cards for all inventory products to ensure consistency between accounts, physical items, and cards. Timely register entries and exits, and conduct regular inventory checks (monthly minor checks, quarterly major checks). Any discrepancies should be handled according to the "Nonconforming Product Control Procedure."
- First-in, first-out (FIFO): the Warehouse Department should follow the FIFO principle based on production dates/batches, verifying batches when issuing products to prevent over-storage.
- Regular inspections: the Warehouse Department should conduct a product protection inspection once a week, checking the storage environment, packaging integrity, product appearance, and shelf life, and filling out the "Product Protection Inspection Record." Any anomalies should be immediately reported to the Quality Department.
4.6 Protection During Delivery
- The Sales Department/Logistics Department should select appropriate transportation methods and tools based on product characteristics and customer requirements. For products with special transportation requirements (constant temperature, anti-vibration, anti-tilting, etc.), the carrier should be clearly informed in the transportation commission.
- Loading operations should be supervised by the Warehouse Department, ensuring gentle loading and unloading, secure fixation, and reasonable stacking to prevent jostling and collision during transportation. After loading, verify the quantity and type, and process the "Finished Product Outbound Order" or "Shipment Order."
- Technical documents, certificates of conformity, and warranty books delivered with the products should be properly packaged to prevent moisture and loss.
- After the products are delivered to the customer's designated location, the Sales Department should follow up on customer receipt. If the customer finds any shortages or damage during acceptance, handle it according to the "Nonconforming Product Control Procedure" and the "Customer-Related Process Control Procedure."
- If the company is responsible for transportation, transportation handover records should be retained. If third-party transportation is used, the protection responsibilities should be clearly defined in the contract, and transportation documents should be retained.
4.7 Handling of Protection Anomalies
- If any department discovers that products have deteriorated, been damaged, contaminated, expired, or lost their identification during handling, packaging, storage, or delivery, they should immediately isolate the products and report to the Quality Department.
- The Quality Department should organize a cause analysis with relevant departments, assess the impact of the anomaly on product quality, fill out the "Product Protection Anomaly Report," and propose handling actions (rework, repair, downgrade, scrap, or conditional acceptance) according to the "Nonconforming Product Control Procedure."
- For anomalies caused by improper protection that result in batch losses or affect customer delivery, the Quality Department should organize a special analysis, revise protection requirements or work instructions, and prevent recurrence.

3. Common Errors
- Protection Requirements Not Documented: the procedure states "do a good job of protection" but lacks specific standards, leading to on-site execution based on intuition and inability to provide evidence during audits. Protection requirements should be documented in the "Product Protection Requirements List" and work instructions.
- Temperature and Humidity Record Forgery or Backfilling: records filled out once a week or even a month, leading to contradictions with the duty log when discovered by auditors, resulting in nonconformities. Daily honest recording should be insisted upon.
- FIFO Only on Paper: ledgers do not record batches, and products are issued randomly, leading to expired products being delivered to customers and even causing customer complaints. Batch management and verification during issuance must be implemented.
